How it works

A rent receipt is a short written record that says: this tenant paid this amount, for this month, to this landlord, on this date. That is all it is — but when a payment is ever questioned, that short record is the difference between a five-minute conversation and a long argument. Landlords use receipts to track rental income across the year, and tenants use them to prove they paid on time, to support a rent deduction or housing allowance claim, and to settle disagreements about what was paid and when. A receipt is most valuable precisely when nobody expects to need it, which is why it is worth making one every single month.

Each field on this page maps to one line of the receipt. The landlord and tenant names identify the two parties, so use full names exactly as they appear on the lease — "James Carter" rather than "James" — because a receipt with only a first name is weak evidence. The property address matters when a landlord owns more than one property, or when a tenant moves between units: the address pins the payment to one specific home. The amount is shown with two decimal places, so $1,200 becomes $1,200.00, which is the standard way to write money on a receipt and leaves no room for a digit to be added later. The late fee field is separate on purpose, so the rent itself and any fee are both visible and neither is hidden inside a single total.

The month and year are the heart of the receipt, because rent is a repeating payment and the most common dispute is "which month was this for?" Choose the month the payment covers, not the month you happen to be writing the receipt — a payment made on January 5 for January rent is a January receipt, and the preview shows "January 2026" so there is no doubt. The payment method matters too: cash leaves no bank trail, so a signed receipt is the only proof; a bank transfer leaves a bank record, which is useful extra proof alongside the receipt; a check has a check number and a clearing date. The "Payment for" field lets you mark whether the money is plain monthly rent, rent plus utilities, or a security deposit, so a deposit is never confused with a rent payment later.

Every receipt gets its own receipt number, in the form RR-YYYYMM plus four digits — for example, RR-202601-4832 for a January 2026 receipt. The number is generated when the page loads, and the New Receipt No. button makes a fresh one whenever you need a second receipt for the same month, for example when a payment is split into two parts. Keep the numbers in order across the year, one per payment, and file each receipt in a single folder — paper or digital — so the full year adds up cleanly at tax time. The receipt date defaults to the date you enter, and you can set it to the day the money actually changed hands.

Printing is simple: press Print Receipt and your browser's print dialog opens with the receipt formatted for paper. The signature lines at the bottom are there for a reason — print the receipt, have the landlord sign it, and give the tenant a copy. For cash payments, get the signature at the moment the cash changes hands, not later. For bank transfers, a printed receipt plus the bank statement is a strong pair of records. Nothing you type on this page is sent anywhere or stored on a server: the whole receipt is built in your browser, so your names, address, and amounts stay private.

Worked example

Maria Lopez rents an apartment to James Carter for $1,200 a month. James pays January 2026 rent by bank transfer on January 5, 2026.

Step 1: Type Maria Lopez as landlord and James Carter as tenant.
Step 2: Type the property address, 12 Oak Street, Apt 4.
Step 3: Enter 1200 as the rent amount and leave the late fee at 0.
Step 4: Choose January and 2026, choose Bank Transfer, and set the receipt date to January 5, 2026.
Step 5: Press Print Receipt.

The receipt preview shows $1,200.00 as the amount and January 2026 as the rent month, with the lines "Received from (tenant): James Carter", "Received by (landlord): Maria Lopez", "Property: 12 Oak Street, Apt 4", and "Payment method: Bank Transfer", plus a receipt number like RR-202601-4832 and the date January 5, 2026. Maria prints it, signs the landlord line, and hands James his copy. If James had paid $50 late, the late fee field would show $50.00 separately and the total would read $1,250.00.

FAQ

Is a rent receipt from this generator legally valid?

A rent receipt is a written record that rent was paid, and a clear receipt with the landlord's name, tenant's name, amount, month, and date is accepted as proof of payment in most everyday situations. Rules differ by place, so check your local tenancy rules if the receipt is needed for a formal dispute or a court case.

Does the receipt need the landlord's signature?

A signature makes a receipt stronger, because it shows the landlord received the money. Print the receipt and have the landlord sign the signature line, or keep the signed paper copy with your records. For bank transfers, the bank statement is useful extra proof alongside the receipt.

Can I use a rent receipt for tax records?

Many tenants keep rent receipts to support a rent deduction or a housing allowance claim, and landlords keep them to record rental income. Keep every monthly receipt together in one folder, paper or digital, so the full year is easy to add up. This tool gives you a record to keep; it is not tax advice.

What if I paid rent in cash?

Cash payments need a receipt more than any other method, because there is no bank record to fall back on. Choose Cash as the payment method, fill in the amount and month, print the receipt, and get the landlord's signature on it at the time of payment.

Can I change the receipt after I print it?

Yes. Just change any field on this page and the receipt preview updates right away, then print it again. If you already gave a tenant a receipt with a mistake, make a corrected copy with a new receipt number and note that it replaces the earlier one.
